WHAT DO LANDSCAPERS NEED TO DO TO SET UP A SHOW?
Landscapers must first protect the floor, as shown with a tarp or protective cover and make sure no damage is done to the facility. We typically have time in our set up schedule to provide landscapers additional set up time with an earlier move in to allow the time to create a great display. Please check with your show manager for times.

Who do we contact to order electric? We make this very easy for our exhibitors. You order this with your space reservation on the contract. We own our own electrical system, and we keep the fees very reasonable. If you did not order the electric at the time of your contract, just send us an email or call for assistance, and we will add it to your invoice.
DO IN NEED INSURANCE TO BE PART OF THE EVENT?
YES. As a company, you should have insurance just to operate. We do need proof of liability insurance for our exhibitors. When you have a store front, and someone walks into your store to shop, you need insurance in case of an accident. The same holds true for an expo. Your company is liable for anything that happens inside your booth, or anything that happens outside your booth that is a result of anything that your company had a part in. For example, if you have carpet, and it it not secure, and a customer trips and breaks their hand, you are responsible. The show is responsible for aisles and the common areas and the general event.

CAN WE PICK OUR OWN BOOTH?
Usually, YES! Here is how the process works. Renewals start first, and companies in good standing that participated in the past secure their booth space. Once that process is complete open booths are available on a first come first served basis. We will go over options and openings with you once we receive a contract, or what is open when you are thinking about a booth. We will only hold a space with a contract. We also make sure to balance the show to ensure that the customer experience is great. We will not place competitors next to or too close to each other. So, if a booth is open, and it is right in front of your # 1 competitor, we will not place you in that space.

CAN I SET UP JUST ONE DAY OF THE SHOW?
NO. It would be impossible to create a great event for the public with some vendors participating in just one of the days.

CAN I SET UP MY BOOTH SATURDAY MORNING BEFORE THE SHOW?
WE DO NOT LIKE THIS. Depending on what the display is, it is possible. Our staff is on site all day on set up day to help with everything from table and chairs to electric. We open for the exhibitors an hour before the show starts on Saturday. Checking to make sure everything is set to present a professional event is difficult, and adding exhibitor set up and exhibitor requests at the last minute can be quite difficult. Please check with the show manager before making this decision.

CAN WE GIVE AWAY FOOD FROM OUR BOOTH?
Depends on the venue. Some of our venue partners have exclusive food and beverage rights, and it can get pretty sticky trying to give away food. A bowl of candy is usually fine, but hot dogs, pizza usually won't fly. Check with us and let us know what you are thinking and we can let you know.

IT IS A LITTLE SLOW AT THE END OF THE DAY SUNDAY, CAN I BREAK DOWN EARLY AND LEAVE?
NO, NO, NO.
Our hours are already short and sweet. As long as there is one customer in the building, we have an obligation to keep the show intact. This is one issue that will make any show manager at any professionally run company a little nuts. Here is a little more background on the issue.
When a store is advertised to be open until 5PM, and you need something really bad, and you get there 10 minutes till, and they are closed, it irritates the customer and they don't want to go back. When we advertise our hours, and exhibitors feel it is ok to not honor those hours, they are breaking the agreement with the customers that they will be there. It makes the show look really bad, and causes people to not want to come back. There is also a larger issue: Liability. When exhibitors start disassembling backdrops, moving gear in the aisles, it opens everyone up to significant loss. We will be the first to close a show 10 minutes early if there are no customers. Please have your staff resist the urge to break down before the advertised time. In addition, some of the best leads of the day can come at the end of the day. If your representative is really bored and wants to leave early, have them go outside and take a break, but please leave the booth intact until the end of the show.

IT SNOWED AND THE CROWD WAS LIGHT, DO WE GET A REFUND?
We are not responsible for weather related issues. However, our company does carry cancellation insurance insurance for all of our events. In the event of a significant weather event that shuts the show down and the venue is closed by the venue operator, or the town is shut down and the area is in a state of emergency, we are covered and are able to obtain refunds from our carrier.
